What is Virtual Remote Online Notary?

A remote online notary (RON) is a legally commissioned notary public who is authorized to conduct notarizations virtually using approved digital tools and live audio/video. The signer simply appears before the notary via a webcam on a smart device with audio and visual instead of in person.

Remote online notary is also known as virtual notary, online notary, and webcam notary.

Remote online notary can actually be more secure than even in person notary.

 

What type of technology is used for Virtual Remote Online Notary

We at TN Notary & Professional Services use two different platforms to serve our client virtual remote needs.

One of platforms utilizes Zoom and another utilizes a built in system similar to Zoom. Some refer to these type of notary appointments as web notary, online notary, Zoom notary or virtual notary.

The basics that you will need to have access to is a smart device such as a laptop, computer, tablet or smart phone that has a front facing camera with audio capabilities and strong internet or cellular connection.

You must also have access to your email to click the link to join the virtual online notary appointment as well as access the link to upload your ID and complete your Knowledge Bases Authentication. 

What is Knowledge Base Authentication

Knowledge Based Authentication, also known as KBA, is a process of identification of a person asking questions that only they would know. This allows a person to be validated in real time along with their uploaded photo ID.

The questions are populated from previous addresses, previous loans info and more.

Our KBA questions with the remote online notary platforms that we use require 5 questions that must be answered within 2 minutes.

In order to pass KBA, an individual should be a United States citizen, have a social security number, have a photo ID, such as a state driver’s license or state ID or passport, and a credit history.

1. Who can get a document notarized virtually online

We can notarize documents including loan documents for any United States Citizen living within the United States as well as any United States citizens traveling, living, attending school internationally, serving in the military or working abroad.

It is important to use a Remote Online Notary (RON) that is experienced to help make your virtual notary appointment a positive one.

Each signer will need to be able to:

  1. Provide Photo ID
  2. Be able to pass Knowledge Based Authentication (KBA)
  3. Have access to approved technology tools as well as being able to access their email and receive text messages. *For International Online Notary receiving texts is not necessary.

We offer phone call customer service to answer your questions prior to scheduling your online notary appointment if needed. Please leave us a message if we do not answer or text us your message, as the only reason we do not answer is if we are  on the line with another client or in a Virtual Online Notary session.

We can respond via text within 5 minutes normally and return calls within 15 minutes.

2. What is the Virtual Online Notary Process?

Step 1: Schedule your Appointment by completing our appointment request form and upload your documents. You can also email us at services@tnprofessionalservices.com or call us at 615-422-7205.
Step 2: We will contact you to confirm we have your documents, that we have received your appointment request, give you an exact price and confirm your appointment time.
Step 3: We will receive an invoice to be paid. Your appointment is not confirmed until invoice is paid.
Step 4: All signers will join our virtual online notary appointment via the link sent to their email at the scheduled time.
Step 5: Signers will follow the notary’s direction to confirm their identity and when to esign the documents.
Step 6: Signers will receive an email to download their notarized documents.

3. How to upload your documents to be notarized online

You can upload your document when you complete your appointment form in a PDF format. If you have issue with uploading, you can also email your documents to services@tnprofessionalservices.com

Don’t know how to convert your document to a PDF? No problem, just email us yours docs to services@tnprofessionalservices.com and we will convert them for you.

Generally, a document must be 100% complete for a Notary to perform a notarization. You will be asked to complete any blank spaces on the document during the online notary session. You can also have everything completed on your document when upload it to save time but a reminder to NOT SIGN IT  as you will eSign it in the virtual online notary appointment.

4. What are Acceptable Forms of Identification

You will need to have a valid form of a Photo ID.

Accepted forms of identification for having notarial services performed include the following:

  1. State-issued driver’s license.
  2. State-issued identification card
  3. U.S. passport.

5. What type of Smart Device is needed for Remote Online Notary?

Each signer will need to have access to a computer, laptop, tablet or smart phone that has a webcam or front facing camera.

6. Does each Signer have to use their own email and phone?

Each signer will also need access to their own individual email accounts and be able to receive text messages (in most cases/ international online notary is a little different).

7. Does each Signer have to be present in the online meeting?

All signers must be present on the online notary meeting just like they would need to present in real life in front of the notary. 

8. What happens if a signer cannot pass the Knowledge Base Authentication (KBA)? 

Each signer will have to answer their own 5 KBA questions to verify their identity in a 2 minute allowed time. 

If someone fails for any reason, they can take it again 2 more times before they have to wait 24 hours to take it again.

9. When do I pay for the Online Notary Appointment?

The signer will pay $25 to schedule and then they will pay the remainder of the fee after all signers sign and BEFORE the notary notarizes. The notary will send you a link to pay while in the meeting. The signer has the option to choose to pay it in one invoice when they schedule.

10. How do I access my notarized documents?

You will receive your notarized documents  at the end of the online notary session. 

DISCLAIMER: **It is up to the signer to check with the receiver of the documents to ensure they will accept the virtual notary stamp. Though virtual notary is accepted in all states, you need to you check with your lender to make sure they accept it.
